What a sale notification does and does not change

A sale notification is the communication submitted by the seller to the DGT after transferring and handing over the vehicle. It creates an administrative record of the transaction and the buyer's identity.[1][2]

This communication does not replace the transfer that the buyer must request, nor does it itself make the buyer the registered keeper. They are different actions within the Vehicle Register.[1][2][3]

Synexis collects sale details and application documents. After payment, both parties are asked to digitally sign the contract and the seller is asked to sign the mandate. If the seller issues an invoice, it is uploaded instead of the contract and only the mandate is signed. Recording the entry, accepting documents and requesting further evidence are the DGT's responsibility.

When it applies

  • Notification is appropriate after a completed sale when the seller can identify the buyer, vehicle and date of transfer.[1][2]

  • The contract must be signed by buyer and seller and include both parties' details, the registration number or vehicle identifier, and the date and time of handover.[1][2]

  • The transferor or an authorised person can notify the sale if they prove representation and provide the documents required to identify the sale.[2][3]

When it does not apply

  • It must not be used as a replacement for the buyer's change of registered keeper or as evidence that the buyer is already recorded as keeper.[1][2][3]

  • The standard journey does not resolve a sale attributed to a deceased person or representation that cannot yet be evidenced. These cases first require clarification of who may act.

  • Correct incomplete sale details or differences between the registration number and files before paying. After payment, complete the applicable signature requests for the contract and mandate.

Check each detail against the contract and keep a legible copy of everything provided.

  • A signed sale contract clearly stating the date and time of handover to establish when the transfer took place.[1][2]


  • A copy of the document evidencing the transfer and, if another person acts, sufficient authorisation or a mandate from the seller.[2][3]

    After payment, the contract is sent to both parties for digital signature, along with the seller's mandate. If there is an invoice, it replaces the contract and only the mandate is signed. Check status and available documents in your application: payment alone does not complete notification with the DGT.

The transferor's deadline

Spain's General Vehicle Regulations require the transferor to notify the transfer within the following ten days. The DGT recommends doing so as soon as possible after handover.[3][1][2]
